Reservation Assistant Lead

Rate of pay: $10.70/hour

Work location: Iowa Memorial Union

Basic job function

Supervise and train the IMU Event Services Reservation Assistant position. Assist with performing a variety of clerical and bookkeeping tasks.  Work includes making reservations for event space and various bookkeeping tasks.  Processes deposits, assist with accounts payable and receivable tasks, invoicing, etc.  Performs general receptionist duties in answering phone calls, greeting customers, and responding to e-mail. 


  • Makes reservations in the Event Management System (EMS), collects payments and enters data in EMS system, reconciles account and provides daily reports to IMU Business Office.
  • Performs receptionist work answering phone calls and responding to customers in person or via e-mail. Handle personally or refer to others as needed.
  • Review and approve online reservations requests including maintaining the database of users and available rooms. 
  • Provides information about the availability and administrative policies and procedures regarding the use of IMU event space and outdoor campus spaces.
  • Facilitate training as needed for new users and internal staff.
  • Generates reports as required and make adjustments to reservations as needed. This will include running specialized reports to share with event staff and ensure that all appropriate event details are obtained for events.
  • Assist IMU Facility Coordinators in working with high profile customers including University of Iowa visitation programs (i.e. Orientation, Hawkeye Visit Days, OnIowa), complex annual events and conferences, and weddings at the IMU.
  • Accurately complete office tasks as needed including filing, scanning, and making payments.
  • Assists with other project work as assigned.


  • Experience as Event Services Reservation Assistant.
  • UI registered student; preferably business major.
  • Aptitude for math and/or accounting.
  • Strong verbal and written command of the English language.
  • Previous customer service experience.
  • Ability to organize and juggle multiple tasks & ability to work independently.
  • Previous clerical or bookkeeping experience is highly preferred.
  • Need resume & cover letter along with application.
